Summary:

This position is responsible for a variety of specialized office work and professional level duties providing office support services to the Building Department.

 

Essential Duties and Responsibilities:

  • Performs various tasks involving digital documents. Must be proficient in Microsoft Office (Word, Excel, Outlook, etc.), internet, Adobe, and other vital computer programs that are essential for daily tasks.
  • Performs data entry into OpenGov (City permitting portal) to verify digital signatures, upload and update permit documents, contractor’s files, tracking permit record statuses, schedule inspection requests, input inspection results as submitted by private providers.
  • Reviews the intake of permit application submittals and accompanying documents to ensure compliance with Florida Building Code, City codes, and administrative procedures. 
  • Provides customer service to the public. Must have the ability to deal with customer inquiries or complaints by providing an explanation of City policy on a wide variety of topics. Receives calls, emails, and visitors. Provides information to the public in an exceptionally friendly and helpful manner.
  • Performs routine clerical duties including copying, scanning, data entry, drafting emails, return/make calls, etc.
  • Calculates permit fees utilizing approved fee schedule.
  • Prepares building department bank deposits daily.
  • Performs special short-term projects under close supervision.
  • Performs research projects and prepares reports based on the results of this research.  Information obtained is assembled in a concise manner for presentation within the given time frame.
  • Performs other related duties as assigned.

Education and/or Experience:

A high school diploma or general education degree (GED) plus two years of general office experience that involves the operation of office machinery and use of the Internet.  At least two years’ experience working directly with the public.  International Code Council first year Permit Technician certificate preferred but not required. Certification opportunity to the right applicant.

 

Language Skills:

Ability to read and comprehend simple instructions, short correspondence, and memos. Must be able to follow spoken/written instructions. Ability to write clear accurate reports, business correspondence and meeting minutes.  Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees. Ability to speak multiple languages preferred, but not required.

 

Mathematical Skills:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.  Exposure to basic geometry.

 

Reasoning Ability:

Ability to apply common sense understanding to carry out detailed written or oral instructions.  Ability to deal with problems involving a few concrete variables in standardized situations.

 

Other Skills and Abilities:

Knowledgeable in the areas of construction trades preferred.  Ability to gain a thorough knowledge of the Marathon City Code and the Florida Building Code. Must be flexible and able to multi-task. Ability to deal with the public in a pleasant and courteous manner, often in stressful situations; and establish and maintain effective working relationships with City personnel and the public.
